A “Press Release,” also known as a “News Release”, is a written communication that reports specific but brief information about an event, circumstance, product launch, or other happening. It’s traditionally sent to journalists and editors who may use the information to develop a news article or story for their publication, website, or broadcast.

Here are the key elements that make a good press release:

  1. Headline
    This should be a brief, catchy statement that sums up the press release’s main point. The headline must grab the reader’s attention and make them want to know more.
  2. Dateline
    This contains the release date and usually the originating city of the press release.
  3. Introduction
  4. The intro paragraph is your hook. It should contain the who, what, where, when, and why in a couple of sentences. This first paragraph should be concise and informative, conveying the most critical piece of the news.
  5. Body
    This is where you provide more details to back up your introduction. It should be easy to read and free from jargon. This is the section that will be most often cut or condensed by journalists, so make sure the most important information is in the introduction.
  6. Boilerplate
    A short section about the company or organization. This gives journalists quick background information on the company issuing the press release.
  7. Close
    Usually ends with three hash symbols (###) centered directly underneath the last line of the release, which signals the end of the release.
  8. Contact Information
    Your name, phone number, email address, mailing address, or other contact information for the PR or other media relations contact.

Good press releases are concise, written in journalistic style (Third-person perspective), and free of hype or sales language. They should provide value and information to the reader, not just be a blatant self-promotion.

Remember, reporters are flooded with potential stories and pitches on a daily basis. Make yours stand out and you’re much more likely to get picked up by the press.
